Terms & Conditions - Coral Gala

1. Registration & Admission
The Coral Gala – 35th Anniversary Ivy Ball is intended for alumni of Ivy League institutions, their guests, and invitees approved by the organisers. Attendance is subject to availability and eligibility. Submission of a registration or payment does not guarantee admission until confirmation is issued by the organizers. The organisers reserve the right to request proof of affiliation at any time before or during the Event.

2. Payment & Confirmation
All tickets must be paid in full prior to confirmation. Attendance is confirmed only after payment has been fully received and verified. An official ticket or confirmation email will be issued upon approval.

3. Refund & Cancellation Policy
No refund will be issued for non-attendance. All payments are final and non-refundable, except in the unlikely circumstances of event cancellation by the organizers. If the event is rescheduled due to force majeure or other situation, tickets will remain valid for the new date.

4. Ticketing & Transfers
Tickets are non-transferable unless explicitly approved by the organizers. The organizers reserve the right to refuse entry if ticket details do not match the guest’s information.

5. Event Changes
The organizers reserve the right to modify any content of the event including programme, entertainment, food and beverage arrangement, venue arrangements, seating, and schedule at any time without prior notice. Such modifications shall not entitle guests to a refund.

6. Code of Conduct
Guests are expected to behave respectfully and appropriately throughout the event.
The organizers reserve the right to refuse or revoke admission of any guest without refund for any conduct deemed inappropriate, unsafe, or disruptive.

7. Dress Code
Guests are expected to adhere to the event’s formal dress code. The organizers reserve the right to deny entry to individuals who do not comply.
 
​9. Catering
The food menu comprising a variety of dish types, including vegetarian options. Due to the scale and nature of the event, the organisers are unable to accommodate individual dietary requirements, food allergies, or ingredient substitution requests. Guests with specific dietary needs or food sensitivities are kindly advised to exercise personal discretion while dining. The organisers and the venue shall not be liable for any adverse reaction arising from food or beverages served at the event.
 
8. Photography & Media
By attending the event, guests consent to being photographed, filmed, or recorded, and grant the organisers the irrevocable right to use such images and recordings for event-related promotional and editorial purposes  without further consent or compensation.
Guests who require strict privacy may request a photography opt-out at the registration desk on the evening of the event. The organisers will make reasonable efforts to honour such requests, but cannot guarantee the complete absence of incidental capture in wide-angle or crowd shots.

9. Liability
Guests attend the Event at their own risk. To the fullest extent permitted by the laws of Hong Kong, the organisers shall not be liable for any direct, indirect, incidental, consequential, or special loss or damage (including but not limited to personal injury, loss of or damage to personal property, or economic loss) arising out of or in connection with attendance at the Event.

Privacy Policy

1. Information Collection
We collect personal information provided by guests during registration, including but not limited to name, email address, school affiliation, and any supporting documents submitted for verification purposes.

2. Use of Information
All information collected is used solely for: (i) verifying eligibility and identity, (ii) processing registrations and payments, and (iii) coordinating event attendance. Such information will not be used for unrelated marketing purposes without the guest’s consent.

3. Access & Data Sharing
Information of guest is reviewed only by the designated Ivy Ball Organization Committee representatives responsible for the guest’s selected school or affiliation.
Access is limited strictly to what is necessary for verification and coordination. The organizer will not sell, rent, or distribute your personal information to third parties.

4. Data Security
The organizer takes reasonable measures to protect information of guests and restrict unauthorized access. Data is handled through secure platforms and controlled access systems.

5. Data Retention
Information of guests is retained only for as long as necessary to manage the event, the verification process, and the related coordination. Selected information may be securely archived for internal record-keeping.

Terms & Conditions of Use
By accessing or using the Ivy Ball Connection Platform (the “Platform”), through any form of digital device, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions (“Terms”). If you do not agree, you must not access or use the platform.

1. Nature and Purpose of the Platform
The Platform is a voluntary social facilitation platform intended solely to allow Ivy Ball attendees to indicate interest in meeting other attendees for social, personal, romantic, or professional networking purposes.
The Platform:
Does not provide matchmaking, vetting, background checks, or recommendations;
Does not guarantee interaction, compatibility, safety, outcomes, or continued access;
Functions only as a passive technological intermediary between users.
All interactions initiated through the Platform occur solely at the users’ own discretion and risk. 

2. Eligibility and User Representations
By using the Platform, you represent and warrant that:
You are at least 18 years of age;
You are a registered attendee or guest of the Ivy Ball;
All information you provide is accurate, current, and not misleading;
You will comply with all applicable laws and regulations.
The Ivy Ball Organizing Committee (“OC”) reserves the right to suspend or terminate access without notice for violation of these Terms.

 

3. User Conduct and Assumption of Risk
You acknowledge and agree that:
Meetings and communications with other users occur outside the control of the Ivy Ball, the OC, the alumni clubs of all Ivy Ball attendees (“the alumni clubs”), sponsors, or affiliates;
You are solely responsible for your interactions, communications, meetings, and decisions;
You assume all risks, including personal safety, emotional harm, reputational harm, and financial loss, arising from Platform‑related interactions.
You are expected to behave respectfully and appropriately throughout your usage of the Platform.
The Ivy Ball and affiliated alumni organizations do not supervise, monitor, or control user behavior or offline meetings.

 

4. Prohibited Uses
You agree not to:
Harass, stalk, threaten, deceive, impersonate, or exploit other users;
Use the Platform for unlawful, commercial, or solicitation purposes;
Share false, offensive, or defamatory content;
Attempt to circumvent Platform security or misuse user data.
Upload, post, share, or distribute any content that infringes the intellectual property rights of any third party, including copyrighted text, images, music, video, or other materials, without the express authorisation of the rights holder;
Collect, harvest, or store personal data of other users without their explicit consent;
Post content containing viruses, malware, or any code designed to disrupt or damage the Platform or its users' devices;
Use automated tools, bots, or scripts to access or interact with the Platform;
Reproduce, redistribute, or commercially exploit any content generated on or through the Platform without prior written consent from authorized representatives of the Platform.
Violation may result in immediate removal and permanent exclusion from future Ivy Ball events.

 

5. Data Privacy and Information Sharing
5.1 Data Collected
The Platform may collect:
Name, age, job, social media, alumni affiliation and other personal information necessary to facilitate interaction (if provided);
Networking preferences and availability indicators;
Limited usage data for operational integrity.
5.2 Visibility of Information
You acknowledge that:
Certain profile information will be visible to other Platform users;
Any information you choose to share is done voluntarily and at your discretion;
5.3 Data Handling
Personal data will be:
Processed solely for the operation of the Platform;
Stored securely and retained only as long as reasonably necessary;
Not sold or commercialized.
You may request access, correction, or deletion of your data as permitted by law. 

 

6. No Liability for User Interactions
To the fullest extent permitted by law, the Ivy Ball, the OC, the alumni clubs, hosts, sponsors, and their respective officers, members, and volunteers:
Disclaim all liability for user conduct, communications, meetings, or outcomes;
Are not responsible for any direct, indirect, incidental, consequential, or special loss or damage (including but not limited to personal injury, emotional distress, reputational harm, loss of or damage to personal property, or economic loss)  arising from Platform usage;
Make no representations or warranties regarding user identity, intentions, or behavior.
All use of the Platform is strictly “as is” and “as available”. 

 

7. Release and Indemnification
You expressly agree to:
Release and forever discharge the Ivy Ball, the OC and the alumni clubs from any and all claims arising from Platform usage;
Indemnify and hold harmless the released parties against claims, losses, damages, liabilities, costs, or expenses (including legal fees) resulting from your conduct or breach of these Terms.

 

8. No Endorsement or Affiliation
Participation in the Platform:
Does not imply endorsement, approval, or sponsorship of any user;
Does not create any partnership, agency, fiduciary, or employment relationship.

 

9. Modification and Termination
The organizers reserve the right to:
Modify or discontinue the Platform at any time without notice;
Update these Terms, with continued use constituting acceptance of revisions.

 

10. Governing Law and Jurisdiction (Hong Kong)
10.1 Governing Law
These Terms, and any dispute or claim (whether contractual or non‑contractual) arising out of or in connection with them or the use of the Platform, shall be governed by and construed in accordance with the laws of the Hong Kong Special Administrative Region of the People’s Republic of China.
10.2 Jurisdiction
You irrevocably submit to the exclusive jurisdiction of the courts of Hong Kong to settle any dispute or claim arising out of or in connection with these Terms or the use of the Platform, including any question regarding their existence, validity, or termination.
10.3 Waiver of Objections
You waive any objection to proceedings in such courts on the grounds of venue, forum non conveniens, or similar grounds, and agree that judgment obtained in such courts may be enforced in any jurisdiction to the extent permitted by law.


11. Entire Agreement
These Terms constitute the entire agreement between you and the Platform organizers concerning use of the Platform, superseding all prior communications or understandings.
